Mind Matters — Cancellation & No-Show Policy

Effective Date: 05/2026 | Provider: Tara Callow, MSN, RN, PMH-C, IBCLC, CPNP-AC, PPCNP-BC

Our Commitment to You

We reserve your appointment time exclusively for you. Because psychiatric appointments require preparation and clinical continuity, late cancellations and no-shows affect both your care and our ability to serve other patients in need.

Cancellation Policy

We require at least 48 hours' notice to cancel or reschedule any appointment.

  • 48+ hours in advance — No charge
  • 24–47 hours in advance — $75 cancellation fee
  • Less than 24 hours — $100 cancellation fee
  • No-show (no contact) — Full session fee charged

Cancellation fees are not billable to insurance and are the patient's responsibility.

No-Show Policy

A no-show is defined as failing to attend a scheduled appointment without prior notice. After two consecutive no-shows, Mind Matters reserves the right to discharge the patient from the practice.

Late Arrivals

Appointments begin and end at their scheduled time. Arrivals more than 15 minutes late may be rescheduled and subject to a late cancellation fee.

How to Cancel
